How do I export NAPLAN data from Scout (NSW DoE) for Import into Analysis

UPDATED: September 2023

1. Access the Scout NAPLAN app.
2. Select Current NAPLAN (2023 and onwards) in the left menu and choose Student Proficiency Standards.
3. Select All Domains
4. Click on the Menu icon (...) top right of results table 
5. Select Export data
6. Select ‘Summarized Data
7. Select File format: '.csv'
8. Select Export to download.

To verify that you have downloaded the valid format, please ensure the output of your CSV contains the following headers: 
School Name, Assessment Year, Assessment, Student Name, Domain, Participation Type, Scaled Score, Proficiency Level

9. Navigate to the Analysis module in Sentral.
10. Go to Setup Analysis.
11. Select Import.
12. Select Test Type: National Assessment Program - Literacy and Numeracy (NSW Scout).
13. Drag-and-drop your exported .csv file onto the screen and wait for the upload to complete.
14. Click Upload Test Data (top right).
15. Navigate to the Imported Files screen to monitor progress of the data being matched and imported into the Analysis module. 

For Schools that do not use SRN IDs within Sentral

Where your students are identified by an external ID provided by your admin system (e.g. Maze, SAS, etc.) that do not use the SRN to identify your students, for automated student-matching following import, you can do the following. 

1. Export your Admin System's External IDs for students into a CSV/spreadsheet format.
2. Download the NAPLAN data from Scout using the process above.
3. Open the NAPLAN data export file in Excel or Google Sheets.
4. Using the VLOOKUP function, replace the SRN column data with the admin system external IDs.
5. Save.
6. Upload the modified NAPLAN data file into Analysis, ensuring that the ordering of the columns (from left-to-right) are the same as specified in Step 11. above.
